A vessel may be alongside for only a short window, but the list of services needed during that call can be long: crew joining or signing off, urgent spares arriving by air, provisions and bonded stores, technician transport, waste collection and cash or documents delivered to the master. Vessel husbandry brings those tasks into one operating schedule. NHK Logistics coordinates them through its shipping agency services in Dubai, linking the vessel, principal, port contacts, suppliers and transport providers around the confirmed berth plan.
Start the husbandry plan before arrival
Send the vessel particulars, IMO number, port or terminal, estimated arrival and departure, previous and next port and the master's contact details with the first request. Then list each service separately with the person, package or supplier involved, its deadline and who can approve changes. Our Dubai port-call coordination guide covers the wider pre-arrival and berth information that should use the same current schedule.
- Vessel name, IMO number, flag and berth or terminal when known
- ETA, expected berth window and requested sailing time
- Crew list and joining or signing-off requirements
- Spares, stores and provisions with package details and ready times
- Technicians, surveyors or visitors who need access and transport
- Principal's approval contacts and purchase-order references
- Any dangerous goods, refrigerated items or controlled products declared early
Crew changes: build one door-to-gangway itinerary
For each joining or signing-off seafarer, share passport and seaman's-book details, nationality, rank, flight itinerary, baggage notes and a reachable mobile number. The agent checks the current entry, transit, immigration and port-access process for the actual person and call. Requirements vary by nationality, visa status, airport, port and vessel movement, so approval should be confirmed before a non-refundable flight is treated as final.
The transport plan should connect airport collection, any immigration or hotel step and the vessel's access window. Signing-off crew need the reverse sequence with enough allowance for the vessel operation, port exit and airline check-in. Our land transport service coordinates the road movement, while the agent keeps the master and driver updated if the berth or flight time changes.
Ship spares in transit: identify every package
Urgent spares often arrive at DXB or DWC under an air waybill and must be identified as ship spares in transit before they can be moved to the vessel. Send the commercial invoice, packing list, air waybill, part description, value, origin, weight and dimensions, vessel details and supplier contact before arrival. The air freight team can coordinate the incoming booking, and the customs clearance service reviews the UAE release or transit process for the specific shipment.
Descriptions such as 'parts' or 'equipment' are too vague. Use the actual item name, quantity, material or function and serial number where relevant. Batteries, aerosols, chemicals, refrigerants, oils and fire equipment may be dangerous goods even when packed inside a spare; the dangerous goods shipping guide explains the SDS, classification and carrier-approval information to provide.
Receive, check and stage deliveries
Spares and stores from several suppliers rarely become ready at the same time. A staging point can receive each delivery, count packages, record visible condition and hold them until the port slot is confirmed. NHK Logistics' warehousing and cross-stuffing service supports that handover, and the Jebel Ali warehousing guide lists the receiving references and release instructions needed.
Keep bonded stores, provisions, technical spares and personal crew items identified separately. Temperature-sensitive food or medical items need their storage condition and latest acceptable delivery time written into the plan. Heavy or oversize machinery spares may require lifting equipment and should be handled under a project cargo method rather than added to a general stores delivery.
Coordinate provisions, services and visitors
For provisions, state the item list, quantities, substitutions allowed, packing requirements and whether the vessel can receive pallets or only hand-carried packages. For technicians, surveyors and riding squads, provide company details, identification, purpose of visit, tools or test equipment and the requested boarding window. Port access and delivery arrangements must be confirmed for the actual terminal and call instead of assumed from a previous vessel.
Cash to master, documents, courier items, laundry, potable water, sludge or waste services and medical assistance each require their own instruction and supporting record. Sensitive deliveries should have a named handover recipient and agreed evidence of delivery. The agent should report any service that cannot meet the vessel's working schedule before it is ordered or dispatched.
Use one live schedule and approval chain
Put every crew movement, supplier delivery, transport pickup and boarding slot on one timeline tied to the latest ETA, all-fast and sailing plan. Mark which activities depend on customs release, terminal access, launch service or the vessel being alongside. When the berth window changes, the coordinator can then see which flights, drivers, warehouse releases and suppliers need to be adjusted first.
Costs should be linked to written approvals. Agree who may authorise transport changes, hotel stays, waiting time, additional launch trips or supplier substitutions, and keep purchase-order references visible. After sailing, close the call with crew-transfer records, delivery receipts and supplier documents matched to the services ordered.

Arrange husbandry support in Dubai
Send NHK Logistics the vessel and service list with the port, ETA, crew movements, spare-parts documents, supplier contacts and required delivery windows. The agency team can review the call, connect freight forwarding, customs, transport and warehouse tasks and confirm a practical husbandry plan before the vessel arrives.
